Sales Administrator & Retail Account Executive
Our clients, a FMCG based in county Kilkenny are seeking a Sales Administrator to join its team. You will take ownership of the end-to-end sales administration function while actively supporting our retail accounts. The ideal candidate will have a background in sales administration/key account management who wants to step up, take more ownership of retail relationships, and ensure our logistics, production, and customer service operate seamlessly.
Key Responsibilities
Sales Operations & Order Management
- Order Lifecycle: Manage the full sales order process from receipt to delivery, ensuring 100% accuracy and compliance with short shelf-life requirements.
- Cross-Functional Link: Act as the primary internal contact between Sales, Finance, Production, Logistics, and Quality to ensure orders are fulfilled.
- Data Maintenance: Maintain up-to-date customer records, retail pricing files, and sales databases.
- Reporting: Prepare and analyse daily/weekly sales reports, rolling forecasts, and OTIF (On-Time In-Full) delivery performance dashboards for senior management.
- System Workflows: Use Shopify, QuickBooks, and internal ERP tracking to process orders and streamline workflows.
Retail Account Support & Customer Service
- Retailer Contact: Act as a dependable, proactive point of contact for key retail accounts, managing escalations, order adjustments, and logistics issues.
- Factory Alignment: Maintain daily, proactive communication with factory supervisors to cross-reference order sheets against daily production yields.
- NPD & Samples: Coordinate customer sample requests and assist management with data preparation for upcoming retail product presentations.
- Account Development: Support the business owners and management team with data preparation for regular customer business reviews.
Events, Site Presence & Growth
- Seasonal Execution: Coordinate operational readiness and order delivery for key seasonal events and public shows (e.g., Christmas Hampers, Bloom, RDS Gifted Show).
- On-Site Farm Shop: Manage face-to-face customer sales, merchandising, and orders within our on-site farm shop in Thomastown.
- Audit Compliance: Ensure all sales, delivery, and dispatch paperwork strictly adheres to company procedures and food audit requirements.
Ideal Skills & Experience
• Minimum of 2 years in a sales administration, sales operations, or commercial support role (ideally within food manufacturing or FMCG).
• Previous exposure to retail account processes or working with retail grocery/symbol group systems.
• Proficient in Microsoft Office (strong Excel skills are a must). Experience with Shopify and QuickBooks (or similar ERP systems) is highly advantageous, though training will be provided.
• Exceptional organisational skills with a laser focus on accuracy. Confident and professional communication style, whether speaking to a supermarket buyer or a factory supervisor.
• A full, clean EU Driving Licence is preferred.
