The overall Purpose of this role :- Executive Assistant /Administrator will provide comprehensive administrative support to the leadership team, ensuring efficient management of day-to-day operations. The ideal candidate is a proactive problem solver with exceptional organisational skills, the ability to manage multiple priorities, and a keen eye for detail. This role requires a high level of confidentiality, professionalism, and excellent communication skills.
Key Responsibilities will include
Executive Support:
- Manage and maintain executive schedules, including meetings, appointments, and travel arrangements.
- Prepare and edit correspondence and communications.
- Coordinate and manage leadership meeting agendas and follow-ups.
Administrative Duties:
- Assist with Recruitment Operations such as scheduling interviews, collating interview feedback, corresponding with candidates.
- Assist with HR and Onboarding activities.
- Assist with Finance activities such as reconciling receipts and invoices.
- Assist with Supplier Set Up tasks and documentation.
- Help maintain our online file management system.
- Support ad-hoc administrative tasks such as placing orders, booking meeting rooms, organizing events.
- Min of level 6 qualification in a Administration relation field
- A minimum of 3+ years experience required in a similar administrative role
- Exceptional organisational and time-management skills.
- Strong written and verbal communication skills. English fluency essential
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.
- Strong problem-solving skills and the ability to anticipate needs and proactively address them.
- Adaptable and flexible, with the ability to thrive in a fast-paced and dynamic environment.
- Detail-oriented with the ability to manage multiple tasks and priorities simultaneously.
- Proven track record of getting things done and done correctly
